Choose the cleanest source

Which timetable format should you import?

Use an ICS calendar file when your school system can export one. It carries event dates and times as structured calendar data, so it usually creates the cleanest draft. Include a date range that covers the whole teaching cycle—not just one week—so rotating days and Week A/Week B classes have enough context.

A PDF is the next best option when the timetable is presented as a printable grid. Export the original PDF where possible instead of photographing a screen. Check the print preview in landscape orientation and make sure day labels, period times, class names and rooms are visible. Remove pages or fields containing student lists, rolls, notes or other information the planner does not need.

Use a photo or screenshot when there is no file export. Capture the full grid square-on, in good light and at a resolution where you can read every cell without guessing. A full screenshot from a browser is usually clearer than a camera photo. If the timetable spans several weeks, include each labelled week.
